The problem

Getting paid is a record-keeping problem before it is anything else

If you bill clients directly — as a freelancer, a consultant, a small studio or a professional practice — the money almost never arrives the way the agreement described. A fee agreed in one figure turns up as an advance, a milestone payment, and a final amount that lands somewhere between three weeks and three months later.

For the first few clients you keep it in your head. Then a payment arrives that does not obviously match anything, a client asks what is still outstanding, and answering takes a bank statement and an evening. The problem is not that the arithmetic is hard; it is that the record is scattered.

The usual answer is a spreadsheet. Spreadsheets are genuinely good at this until two things happen: the totals stop being trustworthy because someone typed over a formula, and following up still means rewriting the same message from scratch every time.

Umikflow is the same idea with those two failures removed. Payments are entries, so totals are derived rather than maintained; and because the balance is already correct, the follow-up message can write itself.

A good fit if

Probably not a fit if

  • You need GST return filing, inventory, or software that chooses the legally required tax rate for you.
  • You need to accept payments online through a gateway.
  • You need double-entry bookkeeping, ledgers or financial statements.
  • You need automated messaging at scale through the WhatsApp Business API.
  • You sell products per unit with stock, rather than work at an agreed fee.

How we decide what goes in

Four rules that have shaped the product more than any feature request.

Small on purpose

Umikflow tracks clients, fees, payments and balances, and helps you follow up. It is not trying to become accounting software, a CRM or a project tool. Every feature we do not add is one you do not have to learn or ignore.

The numbers should be obvious

Agreed, paid, due. Those three figures answer almost every billing question a small business has, so they appear together on the client file, on the dashboard, in the reminder and on the invoice — always calculated from the same entries.

Boundaries in the database

Who can read what is enforced in Postgres rather than in the interface. It is a less visible way to build, and it is the reason we can say plainly that another merchant cannot reach your records.

Honest about the edges

Umikflow does not move money and does not send messages by itself. We would rather say so on the marketing pages than have you discover it after signing up.

Umikflow Billing is a SaaS company founded in 2024, providing global invoicing and payment tracking software for freelancers, consultants, and small businesses. We built this platform to simplify how independent professionals create tax-compliant invoices, track outstanding balances, and send WhatsApp payment reminders.

Umikflow is built and run independently. We are not going to pad this page with a founding story, a team grid or customer numbers — there is nothing we could put there that would be both impressive and true, and an About page that invents those things tells you more about the product than any of them would.

What we can tell you is what the software does today, which is what the rest of this site is for. If something on any page is unclear, inaccurate, or promises more than the product delivers, we would genuinely like to hear about it.
