One place for the work of getting paid — not a second set of books.
Small-business billing here means the records you need when you invoice clients directly: who the customer is, the fee you agreed, what has been paid, and what is still outstanding. From the same workspace you can create a tax invoice with products or services, an invoice look you choose, and taxes you configure, track client payments, or prepare a WhatsApp payment reminder.
Umikflow is a billing and invoicing workspace, not accounting software. There is no chart of accounts, no GST return filing and no stock system — just billing, invoicing and follow-up, currently free to start with no card required. Create a workspace when you want to try it with your own clients.
Client management
One record per client, with the fee you agreed
A client in Umikflow is a name, a mobile number, the total fee for the work, and an optional reference describing what the work is. That is enough to answer the question you care about, and little enough that adding a client takes seconds.
- Mobile numbers are stored with a country dial code, so reminders reach the right number.
- The reference field is free text — a project name, an engagement, an order number, whatever you call it.
- Search by name and filter the list by payment status as the number of clients grows.
- Removing a client is reversible: it is hidden from your workspace rather than destroyed, and can be restored from Recently removed on the dashboard.

Payment tracking
Every instalment keeps its date and its note
Payments rarely arrive in one piece. Record each one as it lands with an amount, the date it arrived and a short note, and the client file keeps them in order as a history you can read back.
- Each entry carries its own date, so a payment recorded late still sits in the right place.
- Notes are optional and free text: "advance on signing", "milestone 2", "settled in cash".
- A mistaken entry can be removed, and the balance recalculates from what remains.
- Amounts use Indian digit grouping as you type (1,00,000 rather than 100,000).

Outstanding balances
The number you actually want, without the arithmetic
The outstanding balance is the agreed fee minus everything recorded as paid. Umikflow computes it from the entries on every view, so there is no total to update and no chance of the summary disagreeing with the detail.
- Each client reads as Fully Paid, Partially Paid or No Payments.
- Filter the client list down to one of those states to see exactly who is behind.
- The dashboard totals agreed, collected and outstanding across the whole client list.
- If a client pays more than the agreed fee, the balance shows zero rather than a negative number, and the extra is shown separately as credit.
WhatsApp reminders
A reminder written for you, sent by you
Choose a client, choose a language, and WhatsApp opens with a polite reminder already written: who it is for, what the work was, the agreed fee, what has been paid and what is left. You read it over and press send.
- Reminder wording in English, Hindi and Gujarati.
- Figures come from the client record, so the message and the ledger cannot disagree.
- Umikflow never sends a message by itself — there is no scheduling and no automated sending.
- Nothing is required of your client: no account, no app beyond WhatsApp, no portal to log into.

Billing and invoicing
Actual tax invoices with taxes you configure
Create an invoice with several products or services, quantities and unit prices. Choose an invoice look on your profile, apply tax-inclusive or tax-exclusive pricing, review totals, then print or download an A4 PDF. This is a tax invoice document — not a WhatsApp reminder about an outstanding balance.
- Multiple line items, optional HSN/SAC, and a sequential invoice number from your workspace.
- A catalog of invoice designs for the A4 layout. Looks change appearance; tax settings stay separate.
- Taxes on or off; inclusive or exclusive mode; rate chosen by you, not by the software.
- Print the A4 page or download a PDF. Extra items continue onto a second sheet.
- Tax invoices do not change dashboard outstanding. That figure still comes from the client ledger.
Private workspace
Access decided in the database, not in the browser
Your clients and payments belong to your account. That is enforced by Row Level Security policies inside Postgres, which means the restriction holds on every query rather than only on the screens that remember to check.
- One merchant cannot read or modify another merchant's clients or payments.
- Administrators moderate accounts and see platform totals; they have no route into a merchant's ledger.
- Role and account status are not writable from the browser at all.
- The application ships with the public anon key only. Service-role credentials never reach the browser.
