WhatsApp reminders
WhatsApp Payment Reminders You Review Before Sending
Asking to be paid is awkward mostly because of the drafting. Umikflow does the drafting — the figures, the reference, the polite framing — and leaves the sending to you.
Umikflow prepares reminders. It does not send them.
Every reminder opens in WhatsApp with the text filled in and waits for you to press send. There is no automation, no scheduling and no WhatsApp Business API integration. We say this plainly because “automated WhatsApp reminders” usually means something else entirely.
The workflow
How a reminder is prepared
From an outstanding balance to a message in your client's chat — about ten seconds, and you still press send.
Open the client
Go to the client whose balance is outstanding. Their agreed fee, paid total and balance are already on the page.
Choose a language
English, Hindi or Gujarati. The reminder wording changes, the figures stay the same.
Review the message
WhatsApp opens in the conversation with that client, with the reminder already written into the message box.
Send it yourself
Edit anything you want to change, then press send. Nothing leaves until you do.
Languages
English, Hindi and Gujarati message wording
Three written reminder messages. The figures are the same in each; only the wording changes. These are not invoice designs.
Example reminders. The client name, reference and amounts come from the client record.
Written, not translated
Each reminder is written in its own language, with the English billing terms kept in brackets so the amounts are never ambiguous.
Figures from the record
The fee, paid total and balance are read from the client file at the moment you open the reminder, so the message cannot contradict your ledger.
Signed with your name
The sign-off uses the full name on your profile, so the message reads as coming from you rather than from a tool.
What is inside the message
What is in the message
A reminder that says “just following up on the invoice” puts the work back on the person receiving it. They have to find the invoice, check what they paid, and work out the difference — which is exactly the friction that makes a balance sit for another fortnight.
The reminder Umikflow writes names the piece of work, states the agreed fee, states what has already been received, and states the balance. There is nothing to look up and nothing to dispute except the numbers themselves, which came from your own records.
Message structure
- A greeting using the client's name as you recorded it.
- A line framing it as a gentle reminder, naming the reference for the work when the client record has one.
- A billing summary: total agreed fee, amount paid, outstanding due.
- A closing request and your name.
Independent work
Payment reminders for freelancers and small businesses
Following up is part of billing when you invoice clients directly. The slow part is assembling the figures each time.
Freelancers, consultants and small teams often chase unpaid work over WhatsApp because that is where the rest of the conversation already lives. A useful payment reminder names the work and the outstanding balance so the client does not have to look anything up. Umikflow fills those figures from the client payment record; you still decide when to send it, and you still press send.
Creating a workspace is free and no card is requested. If a formal PDF is more appropriate than a chat, create a tax invoice and send the downloaded file yourself. Reminders stay about outstanding balances; they are not a substitute for a tax-aware invoice, and the reminder wording is not an invoice design.
