Invoice
An invoice is a document that asks a customer to pay for products or services. A tax invoice in Umikflow lists line items, quantities, prices, taxes you configure, and a total, with an invoice number.
What it means
An invoice is a formal request for payment. At minimum it identifies who is asking, who is being asked, what was supplied, how much is owed and as of when.
It is worth distinguishing from two things it is often confused with. A quote is issued before work is agreed and proposes a price; an invoice is issued afterwards and requests payment of one. A receipt confirms that money has been received; an invoice asks for money that has not. A payment reminder is a short follow-up about an outstanding balance, not a line-item tax invoice.
An invoice design or template in Umikflow is the visual layout of that tax invoice — header, table and frame. It is not a downloadable Word or Excel file, and it does not set taxes. Taxes on or off, the rate, and inclusive or exclusive pricing are separate settings.
Tax-inclusive pricing means the amount you type already contains tax; the software splits taxable value and tax out of that total. Tax-exclusive pricing means tax is added on top of the taxable price. The merchant chooses the rate. Software that calculates tax from a rate you set is still not a tax return filing system, and is not legal advice.
Tax-exclusive vs Tax-inclusive on $1,200 at 10%
Exclusive: taxable value $1,200, tax $120, customer pays $1,320.
Inclusive: customer still pays $1,200. Taxable value is about $1,090.91 and GST about $109.09. Tax is not added again.
Those figures are arithmetic from a rate you chose. They are not a determination of which tax rate the law requires for the goods or services.
Illustrative example. Names and amounts are made up.
How this works in Umikflow
- A tax invoice lists products or services, quantities, taxes you configure, and a sequential invoice number. You print it or download an A4 PDF.
- The invoice look is chosen on your profile. It changes layout, not GST arithmetic.
- GST can be inclusive or exclusive, or switched off. Umikflow does not file tax returns.
- Outstanding balances still live on the client ledger (agreed fee minus payments). Tax invoices do not rewrite that figure. Payment reminders are a separate WhatsApp flow.
